Who is responsible for your data?
MOTIV is the controller of the personal data described in this policy. If you have a question about it, or want to use any of your rights, write to us at [email protected].
What data do we collect?
- Contact form: your name, work email, company, the markets you operate in, your monthly spend range and what you want to achieve. The form also records how long it took to fill in and includes a hidden field, both used only to filter out automated spam.
- Email: if you write to us directly, your email address, your message and anything you attach.
- Technical data: when you visit the site, your browser sends information such as your IP address, browser type, the page requested and the time of the request. Our content delivery network and our servers process this to deliver pages and protect the site.
- Analytics data: only if we switch on Google Analytics and you accept it in the consent banner, information about how you use the site, such as the pages you visit, your device and browser type, and an approximate location derived from your IP address. At the date of this policy, Google Analytics is not switched on, so no analytics data is collected.
We do not ask for sensitive information such as health data or political opinions. Please do not include it in your message.
Why do we use it, and on what lawful basis?
We rely on the following lawful bases under the UK General Data Protection Regulation (UK GDPR) and the EU General Data Protection Regulation (EU GDPR).

We do not add you to a mailing list or send you marketing emails.
Who do we share it with?
We do not sell your personal data. We share it only with service providers that process it on our behalf under contract:
- Cloudflare, which delivers the site and protects it against attacks and abuse.
- Our hosting provider, which runs the servers where the site and enquiry records are stored.
- Zoho, which provides our email service.
- An email delivery provider, when we use one to forward form enquiries to our inbox.
- Google, for Google Analytics, only if it is switched on and you have consented.
We may also disclose data where the law requires it, or to professional advisers who are bound by confidentiality.
Is your data transferred outside the UK or the EEA?
Some of these providers are based in, or use systems in, the United States and other countries. Where personal data leaves the UK or the European Economic Area (EEA), we rely on an adequacy decision, such as the EU–US Data Privacy Framework and its UK extension where the provider is certified, or on standard contractual clauses approved for that purpose.
How long do we keep it?
- Enquiries through the form or by email: 24 months from your last contact with us, unless we need them for longer to deal with a legal claim.
- Server access logs: about two weeks, after which they are deleted automatically.
- Security data processed by Cloudflare: for the periods Cloudflare sets for delivery and security.
- Google Analytics data, if it is switched on: 14 months, the default retention period in Google Analytics 4.
What are your rights?
Under UK and EU data protection law, you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct data that is wrong or incomplete;
- ask us to delete your data;
- ask us to restrict how we use your data;
- object to our use of your data where we rely on legitimate interests;
- receive data you gave us in a portable format;
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, write to [email protected]. We will reply within the time limit set by data protection law.
You also have the right to complain to a data protection authority, in particular in the country where you live or work, or where you think the problem happened. In the UK, this is the Information Commissioner's Office (ico.org.uk). We would appreciate the chance to deal with your concern first.
How do we protect your data?
The site is served only over an encrypted connection (HTTPS). Enquiry records are stored on our server with access restricted to the people who need it, and the contact form filters out automated submissions. No method of transmission or storage is completely secure, but we take reasonable technical and organisational steps to protect your data.
Do we make automated decisions about you?
No. We do not make decisions about you based solely on automated processing, including profiling, that have legal or similarly significant effects.
Will this policy change?
